Terms & Conditions

These Terms and Conditions (“Terms”) govern access to and use of SlotBooks (the “Service”), operated by Common Pattern (“SlotBooks”, “we”, “us” , “our”). By creating an account, subscribing, accessing, or using the Service, you agree to these Terms.

If you are using SlotBooks on behalf of an organisation, you confirm you have authority to bind that organisation to these Terms.

Definitions

  • Organisation means the business, studio, clinic, or entity that creates an account and/or subscribes to SlotBooks.
  • Organisation Admin/Staff means a user authorised by an Organisation to administer the Organisation account.
  • Member means an end user whose details are managed by an Organisation in SlotBooks, and/or who books sessions using links or access provided by an Organisation.
  • Subscription means the paid plan purchased by an Organisation for access to SlotBooks.
  • Organisation Policies means the rules set by an Organisation (including booking rules, cancellation windows, refund rules for Members, eligibility rules, attendance rules, and operational policies).

Scope of the Service

SlotBooks is software that helps Organisations manage schedules, sessions, services, packages/memberships, bookings, and communications related to those activities.

Members use SlotBooks only in the context of an Organisation they are connected to. SlotBooks does not provide Members with standalone consumer services.

Account Ownership and Responsibility

The Organisation owns and controls its SlotBooks account and configuration.

Organisation Admins are responsible for:

  • Maintaining accurate organisation and billing information
  • Maintaining the security of login credentials and access methods
  • All actions taken under the Organisation account, including actions taken by staff invited by the Organisation

Members are responsible for:

  • Providing accurate booking information where requested
  • Following the Organisation Policies of the Organisation they are booking with

Organisation Policies and Member Disputes

Each Organisation is solely responsible for:

  • Its services, session delivery, staff conduct, capacity, and fulfilment
  • Its Organisation Policies (including cancellations, refunds to Members, late fees, no-show rules, and policy exceptions)
  • Communicating its policies to its Members

SlotBooks may enforce Organisation Policies as configured in the Service. SlotBooks does not decide policy outcomes and does not arbitrate disputes between an Organisation and its Members.

Subscription, Fees, Billing, and Taxes

Subscriptions are billed in advance on the billing cycle selected by the Organisation, unless otherwise stated at purchase.

Prices and fees shown exclude applicable taxes unless stated otherwise. If applicable, taxes (including GST) may be charged based on billing details and applicable law.

If payment is handled through a payment partner, the payment partner’s terms also apply to the payment processing.

Plan Changes, Suspension, and Termination

  • Plan Changes: An Organisation may upgrade or downgrade its Subscription subject to the rules shown at the time of change.
  • Cancellation: An Organisation may cancel renewal at any time; access typically continues until the end of the current paid period unless stated otherwise at purchase.
  • Suspension: We may suspend or restrict access to protect the Service, investigate suspected misuse, or address non-payment.
  • Termination: We may terminate access where there is a material breach of these Terms, repeated non-payment, or unlawful use.

Data Export and Account Closure

Upon cancellation or termination, we may provide a limited period for Organisations to export their data, subject to operational constraints and legal requirements.

We may retain certain records for legal compliance, audit, fraud prevention, and dispute resolution.

Acceptable Use

You agree not to:

  • Attempt unauthorised access, disrupt the Service, or bypass security controls.
  • Introduce malware or malicious code.
  • Scrape, copy, or reverse engineer the Service except where prohibited by law.
  • Use SlotBooks for unlawful activity or in a way that infringes rights of others.

We may take reasonable steps to prevent or stop misuse.

Communications (Email, SMS, WhatsApp)

Organisations may choose to send notifications to Members (for example: booking confirmations, reminders, expiry alerts). Organisations are responsible for ensuring they have the necessary permissions, consents, and legal basis to contact Members.

Delivery of messages depends on third-party networks/providers and is not guaranteed.

Third-Party Services and Integrations

The Service may integrate with third-party services (including payment providers, messaging providers, analytics, and infrastructure providers). SlotBooks is not responsible for third-party services and does not control their availability, terms, or performance.

Intellectual Property

SlotBooks and all associated software, designs, trademarks, and content are owned by Common Pattern and/or its licensors.

We grant Organisations a limited, non-exclusive, non-transferable right to use SlotBooks during an active Subscription, subject to these Terms.

Confidentiality

Each party may receive confidential information from the other. Each party will:

  • Protect the other party’s confidential information using reasonable care
  • Use it only to perform obligations and exercise rights under these Terms
  • Not disclose it except to staff/contractors who need to know and are bound by confidentiality

Indemnity (Organisation)

The Organisation will indemnify and hold SlotBooks harmless from third-party claims, losses, and expenses arising from:

  • The Organisation’s services, fulfilment, or Organisation Policies
  • Disputes between the Organisation and its Members
  • Content, data, or communications provided or initiated by the Organisation
  • The Organisation’s breach of law or these Terms

Disclaimer

The Service is provided on an “as is” and “as available” basis. We do not warrant uninterrupted operation or error-free performance.

Limitation of Liability

To the maximum extent permitted by law:

  • SlotBooks is not liable for indirect, incidental, special, consequential, or punitive damages, or loss of profits, revenue, goodwill, or data.
  • SlotBooks’ total liability arising out of or related to the Service will not exceed the Subscription fees paid by the Organisation to SlotBooks in the 1 (one) month immediately preceding the event giving rise to the claim.

Force Majeure

We are not liable for delay or failure to perform due to events beyond our reasonable control, including internet failures, outages, third-party service failures, acts of government, natural disasters, or labour disruptions.

Changes to the Service and Terms

We may update the Service and these Terms from time to time. The “Last updated” date will change. Continued use after changes means acceptance of the updated Terms.

Governing Law and Jurisdiction

These Terms are governed by the laws of India. Courts in Chennai, India have exclusive jurisdiction.
