This Privacy Policy explains how SlotBooks collects, uses, shares, and protects personal data when you use SlotBooks.

SlotBooks is primarily a B2B service. Personal data may be processed in two contexts:

  • Org Management Data (account and billing administration)
  • User/Member Data (managed by an Organisation for booking and membership operations)

Roles and Responsibilities

For User/Member data entered or managed by an Organisation, the Organisation generally determines the purpose and means of processing (for example: who can book, what rules apply, and what messages are sent).

SlotBooks processes personal data to provide and secure the Service, support operations, and comply with applicable law.

Personal Data We Collect

Organisation and Staff Data

  • Name, email, phone number
  • Organisation name and business details
  • Login/authentication metadata and audit logs
  • Billing details, invoices, and payment status

User/Member Data (as provided by the Organisation and/or User/Member)

  • Name, phone number, email
  • Booking history, attendance markers (if used), package/membership status
  • Notes or tags added by the Organisation (if used)

Technical Data

  • IP address, device/browser information, timestamps, and security logs
  • Cookie/session data required to operate the Service

Payment Data

  • Payment is processed by third-party payment partners. SlotBooks does not store full card details.
  • SlotBooks may store payment references, invoice identifiers, and status for reconciliation and support.

How We Use Personal Data

  • Provide the Service (bookings, schedules, memberships, notifications, account administration).
  • Operate, maintain, and secure the Service (fraud prevention, access control, abuse prevention).
  • Respond to support requests and investigate issues.
  • Meet legal, regulatory, and audit obligations.

Legal Basis

We process personal data only as permitted under applicable law, which may include:

  • Contractual necessity (to provide the Service to the Organisation).
  • Consent and/or other lawful grounds where applicable.
  • Legitimate operational needs such as security and fraud prevention.

Organisations are responsible for ensuring they have appropriate permissions and lawful basis to collect and use User/Member data within their relationship with Users/Members.

Sharing of Personal Data

We share personal data only as necessary to deliver the Service, including with:

  • Hosting, storage, and infrastructure providers
  • Messaging providers (email/SMS/WhatsApp) where an Organisation enables notifications
  • Payment partners for processing payments
  • Security and analytics providers for operational monitoring
  • Authorities where required by law or valid legal process

We do not sell personal data.

Cross-Border Processing

We may use service providers or infrastructure that store or process data in India and/or other countries. Where cross-border transfers occur, we take reasonable steps to ensure processing is consistent with applicable law and appropriate safeguards.

Data Retention

We retain personal data for as long as necessary to:

  • Provide the Service to active Organisations
  • Meet legal, audit, and dispute obligations
  • Maintain security records and abuse prevention logs

When an Organisation closes its account, we may retain limited records for compliance and legitimate operational needs, after which data may be deleted or anonymised.

Security

We maintain reasonable administrative, technical, and organisational safeguards designed to protect personal data from unauthorised access, loss, misuse, or disclosure. No system can be guaranteed 100% secure.

Your Rights and Requests

Organisations may request access, correction, or deletion of Organisation management data by contacting SlotBooks.

Members should contact the Organisation they booked with for access/correction/deletion requests related to Member data, because the Organisation controls the membership context and policy decisions. SlotBooks may assist the Organisation in fulfilling valid requests where appropriate.

If you have a privacy complaint, contact us using the details below. We will review and respond within a reasonable timeframe as required by applicable law.

Children

SlotBooks is not intended for children. Organisations are responsible for compliance if they collect or manage data relating to minors.

We may update this policy from time to time. The “Last Updated” date will change.
